Tips for Planning the Perfect Meeting

Have you been tasked with planning the next meeting? We feel for you! Planning a meeting can be stressful, especially since everyone has a busy schedule. No one wants to attend a meeting and then leave feeling as if it was for nothing.

We’ve put together some tips to help you plan the perfect meeting. No one will leave feeling they’ve wasted their time if you follow these tips!

1. Do You Need a Meeting? 

The very first step is to figure out whether a meeting is warranted or not. Consider the time needed for the meeting vs. the value it will have for your team. Many of us are stuck with the idea that a meeting is the best way to share information, hold discussions, and make decisions. That’s true in some cases. 

However, if the meeting is short, it’s not worth calling everyone in for 15-30 minutes. Your team will feel the time wasted. 

So, decide if the meeting is truly necessary or not. If so, then move on to the next tip!

2. Plan & Structure the Meeting

Every meeting requires structure, which can be done by creating an agenda. When planning the meeting, make sure there’s a specific purpose and goal. Next, write the agenda by following these steps: 

  • Decide on the time/date/location of the meeting
  • Identify the meeting’s purpose and goals
  • Ask participants for their input (on what they’d like to see discussed and more)
  • List the points/topics to be covered
  • Estimate how much time each point/topic (helps you calculate how long the meeting should last)
  • Identify who speaks about each topic

Once this information has been decided, then create a meeting agenda. Use the information from the bullet points to make the agenda. Doing this helps keep the meeting organised and on schedule. 

3. How Long Should the Meeting Last? 

Generally, most meetings last between thirty minutes and 60 minutes. Longer meetings may be needed in some cases; however, the longer the meeting, the more challenging it may be to keep everyone’s attention.

4. Meeting Location 

Where should you have the meeting? Here, it’s necessary to consider your own office. Do you have a space that’s conducive to conducting a productive meeting? If not, then you may want to consider renting a meeting room.

Some are concerned that renting a meeting room is too expensive. However, you can search online to find locations near you that are affordable. Once you’ve found some likely meeting places, it’s time to visit and ask questions.

When choosing a meeting venue, be sure to consider how many people are attending and what kind of technology will be needed. For example, will the meeting be long? Then you may also need to consider refreshments or catering services for a complete meal.

Look for a meeting room that has everything you need, covered by one all-inclusive fee. You’ll get the most for your money.

5. Send Out Meeting Information & the Agenda

Once the meeting venue and agenda have been decided on, it’s time to let everyone know the meeting’s date, time, and location. If possible, send out the agenda with this information.
