Strategies for a Productive Meeting

Meetings are essential for the team; however, they add another task to everyone’s already busy work schedule. So, are you the one left planning the meeting? Do you need some strategies for a productive meeting? If your answer is yes, then read to learn how to plan a productive, successful meeting every time.

1. Start by Preparing an Agenda

Every meeting requires a specific purpose and a goal. Without these essential foundations, you could even end up with a meeting that accomplishes nothing, leaving participants frustrated and annoyed.

Your agenda should include meeting topics, time allotted for each topic, and who is to speak on each topic.

Keep the agenda realistic to ensure there’s plenty of time for each topic without unnecessarily prolonging the meeting.

When you have the agenda created, then send this out. It’s best for the agenda to go out with the meeting information location, date, and time. Be sure to send it out again with subsequent meeting reminders.

2. Decide on a Meeting Leader

Each meeting also needs a meeting leader/facilitator. This may be a senior executive, a manager, or a team leader. The meeting leader’s job is to keep the meeting on time and ensure each topic on the agenda is covered.

Meeting leaders also make sure participants do just that—participate in the meeting. The facilitator also needs to ensure all post-meeting follow-ups are determined.

3. Start on Time

Nothing is worse than starting fifteen minutes late (or more). Starting the meeting on time ensures the meeting stays on track and doesn’t last longer than the designated ending time.

4. Meeting Room & Equipment

Once you have the meeting date and agenda set, it’s time to start searching for the right location. If your office doesn’t have a dedicated meeting space, you may want to consider renting a meeting room. Meeting rooms are available in different types of facilities, including business centres.

When searching for the best location, make sure it’s easy to find and access. The location should be close to your own office or close to major transportation links and hubs. Conduct a search and create a list of the meeting rooms near you.

Next, consider meeting rooms that meet your budget. It’s a good idea to visit the business centres on the list you made. Ask yourself these questions:

  • Is the meeting room large enough to accommodate all attendees?
  • Will we need refreshments and snacks? Will we need catering? Are these services offered? If so, do they cost extra?
  • What type of technology do we need for the meeting? For example, will you need plasma screens, flip charts, and Internet connectivity (wired and wireless)?
  • Will we need access to office equipment? Is this included in the price?
  • Can the meeting room be customised for the meeting?

These questions help you find the right meeting room for your meeting.

5. Take Meeting Minutes

It’s always a good idea to have one person designated to take the minutes of the meeting. The minutes are key to creating an accurate account of the meeting. In addition, they record all crucial details, decisions, and assignments after the meeting.

What’s more, meeting minutes also provide a record in case of a disagreement or misunderstanding. The minutes give the details of precisely what happened.

There you have it! These are the strategies that will ensure you have a productive meeting every time!
